The following roles are available to provide high flexibility in organizing access permissions for a team: Owner, Admin, Teammate, Agent, Collaborator.

Owner



An "Owner" role user has full access to all actions and data within the workspace, and they are the only user with permission to manage Subscription Settings and request workspace deletion. There can only be one "Owner" user in a workspace (assigned at the time of workspace creation). To transfer ownership to another user in your workspace, please contact support.

Admin



Users with an "Admin" role have the same permissions as the "Owner" role, with the exception of Subscription Settings, which are reserved for the "Owner" role. The primary purpose of the "Admin" role is to delegate the setup and management of the workspace.

Teammate



Users with a "Teammate" role have full access to all WhatsApp accounts and chats connected by other team members, as well as all Mass Sending campaign reports and templates created by other users. Moreover, a "Teammate" user can set up an individual Pipedrive connection to use TimelinesAI features inside Pipedrive. However, they do not have access to team management and workspace-level integration/automation settings. The main purpose of the "Teammate" role is to provide full access to all WhatsApp communication in the workspace.

Agent



An "Agent" user has access to chats only in their own WhatsApp account (the one they connected) or to chats where they are assigned as responsible. They can only start new chats or run mass sending campaigns from their own WhatsApp account, and can only download reports for their own mass sending campaigns and use their own templates.

Similarly to the "Teammate" role, an "Agent" user can set up an individual Pipedrive connection to use TimelinesAI features inside the Pipedrive interface. However, they do not have access for team management and workspace-level integration/automation settings.

The purpose of this role is to provide full WhatsApp functionality to a user within the scope of their own WhatsApp account, with the ability to grant explicit access to chats in another WhatsApp account through responsible assignment.

Defining Roles



In order to manage your WhatsApp Shared Inbox more efficiently, you can invite your colleagues to the workspace and assign roles to them.



You can invite your team members from the Team section.

Permissions in TimelinesAI allow you to control access to the following features:



Complete Access to all chats from all connected WhatsApp numbers to your workspace (including your teammates)
Team management (inviting new team members, accepting join requests, changing roles, suspending, and activating team members);
Workspace-level integrations and automations settings (Zapier key, Pipedrive and HubSpot workspace integrations, and Webhooks);
Individual integrations (individual Pipedrive Integration);
Access to Mass Sending campaigns reports and templates created by other users.
Subscription management (plan and billing settings);

TimelinesAI allows you to control access permissions for individual team members by assigning them a role that defines which workspace features they can access. You can select a role when inviting a new workspace member, and change it later at the "Team" section. Additionally, you can assign a team member as “responsible” for a specific chat (only one user can be assigned as “responsible” for a chat at a time).


How does this work for Agents with a Pipedrive Account?


If you'd like to limit team members to just send messages using their own WhatsApp on Pipedrive, then you may set their role to "Agent". This will prevent them from selecting other team members' WhatsApp accounts on Pipedrive, whenever they contact someone from there.

Essentially, an "Agent" will always be limited to their own WhatsApp account and will only have access to their own profile and messages.

Collaborator



A "Collaborator" role user can only access and respond in chats to which they are assigned as responsible. They cannot connect a WhatsApp account, start a new chat, or run a new mass sending campaign. Additionally, they cannot set up individual "Pipedrive Integrations".
