Before you can set up this automation template, you must have TimelinesAI and Monday CRM Integration enabled.
"Email and Activities" is a native Monday app available only on the "Monday CRM" product. It comes pre-installed and is available on Contacts, Leads, Accounts, and Deals boards. If you would like to synchronize messages as activities to a custom board, make sure to install and have the app available on the selected board. To navigate to a template, open the desired Monday board > click "Automate"> click "Template"> search by " create activity of Whatsapp Message Type" keywords > click "Use Template". In this demonstration, we will guide you on how to navigate to the template
After selecting the template, you can now configure the trigger to automate the syncing of WhatsApp messages with your Monday board. This is essential for ensuring that the right messages, whether incoming or outgoing, are captured and linked to the appropriate items.
By selecting the relevant WhatsApp account and phone number column, you're defining which messages will trigger the automation. If you want to filter specific messages, the "text" field allows you to do so, providing more control over what gets synced. Once set, turning on the automation ensures everything runs smoothly without manual intervention, keeping your board updated with the right information.

After triggering a test message, whether incoming or outgoing, allow a few moments(30 seconds) for the message synchronization to complete. Then, navigate to the Emails and Activities view of the selected item in Monday. There, you will find the WhatsApp message displayed under the "WhatsApp Message" activity type. This will include key details such as the sender's name, a preview of the message, and a Read More option to view the full message content.

The "Emails and Activities" app currently does not allow automatic attachment uploads. This is a limitation imposed by Monday. As a result, WhatsApp messages containing attachments will be synced without the actual attachment. Instead, you will see a placeholder message indicating that an attachment exists but could not be synced.

The Email and Activities app currently does not support the automatic addition of formatted text into activities. As a result, only the following WhatsApp message formatting will be preserved: emojis, new lines, and paragraphs. Any other formatting will be synced as plain text. For example, bold text will be displayed as bold text here instead of being bold
