For Administrators: How to Manage Join Requests
Team members can join an existing team either through the CRM or via the registration page. You can also share this guide with your team so they can follow the steps to join the workspace seamlessly.
Workspace administrators (including the owner) have full control over the joined requests and must take an action before the team member can access the workspace. Regular flow:
When the join request is submitted, workspace owners and administrators will receive a notification via email and an in-app alert:
When a new join request is received, go to Account > Team > Join Requests in your TimelinesAI workspace. You can also access this page directly using this URL: https://app.timelines.ai/join-requests/ . On this table you can approve or decline the request within 7 days from the moment it was received.
Pending Requests table contains all unprocessed requests with the following details:
Email of the person who sent a join request
Origin of the request (where it came from). Possible values are: Registration form or the name of your CRM (for example: HubSpot)
Requested At date
Status of the request (Needs approval)
Actions column

Click "Decline" if you don't recognize the person requesting access to your workspace.
When the request is declined - NO email notification will be sent to the user requesting access
The join request itself will be moved to " Join requests History" table, where you can track whether user joined or not in the "Details" column
Click "Approve" to accept the join request. Then select the Team and User role for the new team member and click "*Approve*" one more time. When a request is approved:
The person requesting access will receive an email notification containing a special link to complete the registration and join the team. The user will become an active member of the workspace only after completing the registration via the provided link
The invitation will automatically appear under the " Invitations" tab ( https://app.timelines.ai/invitations/). If use didn't get to join using the first link. You can re-send the invite one more time. If user joined using the link, you will be notified with " Your invitation was accepted" email
The join request itself will be moved to "Join requests History" table, where you can track whether user joined or not in "Details" column
Approved and declined join requests are moved to the "Join Requests History" table. On this table, you can track the status of all processed join requests. Information in this table is stored for 90 days and includes the following details:
Email of the person who sent a join request
Origin of the request (where it came from). Possible values here are "Registration Form" or name of your CRM (for example: HubSpot)
Approved/declined at date
Status Possible values here are approved, declined or expired. Expired requests are those that were neither approved nor declined within 7 days and are no longer valid.
Details column. Applicable only to approved join requests . Possible options are Joined Team: {assigned_team}. Role: {assigned_role}. The assigned team and role are the ones that were specified during the approval process
