Manage Billing Details: Payment Method, Tax Info, Invoices, and Plan Changes

A complete walkthrough of the Subscription page in TimelinesAI: where to update your credit card, billing information, Tax ID, download invoices, and change your plan or seats.

As the workspace owner, you can manage all of your billing details directly from the Subscription page in TimelinesAI - payment method, billing information, Tax ID, invoices, and your plan, too.

This article shows you where each option lives, because the Subscription page links into two different Stripe pages depending on what you want to do.

Note: Only the workspace owner can manage billing details. If you're an admin but not the owner, you won't see the Billing Details panel. Ask your workspace owner.

Where to find billing controls:

  • In TimelinesAI, open the Account menu in the left sidebar.

  • Click Subscription (or go directly to https://app.timelines.ai/account/subscription/).

  • The right side of the page has a Billing Details panel with three links, plus a Manage Subscription button below the Subscription card.

The Subscription page sends you to one of two destinations on Stripe (our payment provider) depending on which control you click. Knowing which page does what saves a lot of time:

Common confusion: if you're looking for "update credit card" or "download invoice" inside the Manage Subscription button, you won't find it there. Manage Subscription is plan-and-quantity only. Card and invoice controls live in the Billing Details panel.

Update billing information -(Name/Email/Address/Phone/Tax ID)

Use this when your company name, billing email, billing address, phone number, or Tax ID needs to change. These fields appear on every invoice we issue, so keep them current for accounting and tax compliance.

  • Go to Account → Subscription.

  • In the Billing Details panel, click the link for billing information.

  • Stripe opens the Billing information page with these fields:

    • Name - your name or your company's name as you'd like it on invoices.

    • Email - the address where invoices and receipts are sent.

    • Address - start with the country dropdown, then fill in the address fields that appear.

    • Phone number - country code dropdown plus number.

    • Tax ID - pick the ID type (e.g. EU VAT, GB VAT, IL VAT, US EIN, BR CNPJ) from the dropdown and enter the value. Click + Add another ID if you need more than one.

  • Click Save. The new details will appear on your next invoice.

Update your payment method (credit card):

Use this when you need to replace an expired card, switch to a new card, or remove an old one.

  • Go to Account → Subscription.

  • In the Billing Details panel, click the link for payment method.

  • Stripe opens the Customer Portal. You'll see three sections from top to bottom:

    • Current subscription - your plan, quantity, next billing date, line-item breakdown, any active discount, total. Your default payment method is shown at the bottom of this block with a small edit pencil next to it.

    • Payment method - the card on file, with status (e.g. Expired 02/2026) and a + Add payment method link.

    • Invoice history - further down (covered in the next section).

  • To add a new card: click + Add payment method in the Payment method section, enter the card details, and choose to set it as the default for your subscription.

  • To edit the default card directly: click the edit pencil next to the card shown in the Current subscription block.

  • To remove an old card: open the menu next to that card in the Payment method section and choose Remove.

If your card has expired, the Customer Portal will show a red message: "Your card expired. Please update your payment method." Add a new card and set it as the default before the next billing date to avoid a service interruption.

View and download invoices:

All your past invoices are available as PDFs from the same Stripe Customer Portal page.

  • Go to Account → Subscription.

  • In the Billing Details panel, click View and download invoices. (This opens the same Customer Portal as the payment method link, scrolled to the invoice history.)

  • Scroll to the Invoice history section at the bottom. Each row shows the invoice date, amount, a Paid or Open status badge, and the line-item description.

  • Click an invoice row to open the PDF, then download or print it from the toolbar.

  • If you need older invoices, click View more at the bottom to expand the list.

  • Updating a previously issued invoice is not possible. For future reference, please ensure your billing details are up to date.

Change plan, seats, or billing cycle:

All plan-level changes happen through the Manage Subscription button, not the Billing Details panel.

  • Go to Account → Subscription.

  • Click Manage Subscription below the Subscription card.

  • Stripe opens the Update your subscription page with:

    • A Monthly / Yearly toggle at the top.

    • Three plan cards side by side: CRM Integration, Shared Inbox, and Mass Messaging & Automation. Each shows the per-seat price and a one-line description.

    • Your current plan is marked with a Current subscription badge and includes a Quantity stepper (− / +).

    • A Subtotal at the bottom and a Continue button to confirm.

  • Add or remove seats: use the quantity stepper on your current plan, then click Continue.

  • Switch plan: click Select on a different plan card, then continue.

  • Switch monthly ↔ yearly: use the toggle at the top of the page, then continue. Yearly is billed in one upfront charge with a discount.

This page does not include payment method, tax info, or invoices. If you opened it looking for those, close it and use the Billing Details panel instead - see the sections above.

Payment failed

If your subscription is on hold because a charge failed (expired card, insufficient funds, or declined transaction), update your payment method using the steps in the Update your payment method section above. Once a working card is on file, the next scheduled retry will run automatically or you can contact support to retry the failed charge sooner.
