Installing TimelinesAI in Monday CRM

To begin using the TimelinesAI and Monday CRM integration, you’ll need to install the TimelinesAI app in your Monday.com account. This can be achieved through two different methods as outlined below:

Method I: Monday.com App Marketplace

Step 1: Log in to your Monday.com account and click on the Monday Marketplace icon from the top navigation menu bar.

Step 2: In the search bar, type TimelinesAI and select the app from the results.

Step 4: Select the installation preferences (all workspaces or specific workspaces).

  • All Workspaces: TimelinesAI will be installed in all of your Monday CRM workspaces.

Step 5: Read the permissions that TimelinesAI: WhatsApp sync will have on your Monday.com account, and click on the Install button.

Method II: TimelinesAI Integrations

Step 1: Login into your TimelinesAI account and unwrap the supported integrations list from the side navigation menu bar. Click on Monday from the populating list.

This action will initiate the installation process within your Monday.com workspace 💡

Step 2: Select the installation preferences (all workspaces or specific workspaces).

  • All Workspaces: TimelinesAI will be installed in all of your Monday CRM workspaces.

  • Specific Workspaces: Select the specific workspace on Monday CRM where you want TimelinesAI to be installed

With TimelinesAI installed via Workspace Settings, you can now proceed to configure your integration settings and start linking WhatsApp data to your Monday CRM 🎉

Authorizing TimelinesAI Access

After installation, you'll be taken back to TimelinesAI; within the Monday Integration section, where you’ll need to provide TimelinesAI with permission to access your Monday CRM data.

Step 1: Click the green "STEP 2: Authorize TimelinesAI in your Monday account."

This will redirect you to a page where you can grant TimelinesAI permission to access your Monday CRM data.

Step 3: Read the permissions and click on the Authorize button at the bottom of the page to complete the process.

Once authorization is complete, you will be automatically redirected to the TimelinesAI dashboard where you'll see a confirmation message indicating a successful connection to your Monday.com account 🎉

This successful authorization will grant TimelinesAI the necessary permissions to interact with your Monday.com data, creating a seamless workflow between WhatsApp and Monday CRM ⚡️

Monday Integration Settings

TimelinesAI provides flexible options for managing your integration settings with Monday CRM. These configurations enable you to control data flow and manage your integration effectively, ensuring you have full command over your WhatsApp synchronization.

Disconnect Integration

The Disconnect button allows you to terminate the integration with Monday CRM at any time. If you decide to stop synchronizing WhatsApp messages within Monday, simply click Disconnect to halt the data transfer immediately.

Configuring Monday Board for WhatsApp Sync

To set up WhatsApp sync on your Monday board, follow these step-by-step instructions. This setup enables seamless integration between TimelinesAI and Monday CRM, allowing WhatsApp messages to sync as items on your board.

Step 1: Navigate to the board within your Monday CRM where you want to sync WhatsApp contacts.

Step 2: At the top of your board, locate and click the Integrate button. This will open the integration marketplace where you can search for apps.

Step 3: In the search bar, type WhatsApp Chats - TimelinesAI to find the app. Select it once it appears in the results to proceed with the configuration.

Step 4: Select the integration template: “When new incoming chat received for WhatsApp Account number, create an item.” Click on this option to open its settings for further configuration.

Step 5: When prompted, select the WhatsApp account connected on TimelinesAI for which you want to apply this automation template. You have two choices:

Option 1: Choose a specific WhatsApp account from the list to limit the automation recipe to that particular account.

Option 2: Select "Any" to make the automation recipe work across all WhatsApp accounts connected to your TimelinesAI workspace.

Step 6: Customize the fields that will populate on your Monday board. Click item to start mapping the relevant fields.

Step 7: To configure the automation effectively, map each field in the current board to the corresponding data from WhatsApp chats. Below is a detailed guide to mapping all the available fields:

  • Group: Select the group within the Monday.com board where the items will be created. For example, you can select "To-Do" or any custom group relevant to your workflow.

  • Name: Map this field to sync the contact's name automatically. This ensures that the item's title reflects the contact's name for easier identification.

  • Phone: Link this field to sync the WhatsApp contact’s phone number. This provides direct access to the contact details within your board.

  • Link: Set this to display the WhatsApp chat link. This makes it easy to jump directly to the chat from Monday.com, saving time in communication.

  • Status: Use this field to track the progress or current status of the chat. For example, you can create labels like "Pending," "In Progress," or "Resolved" to monitor each interaction's lifecycle.

  • Item Update: This field can be used to store important notes or updates about the conversation. It helps in keeping a record of any context or follow-up actions related to the chat.

  • Due Date: Map this field to set deadlines for follow-up or resolution. This is especially useful for time-sensitive tasks or customer inquiries.

After mapping, click on the Done button to apply the configuration.

You can anytime come back to this automation recipe on your Monday board (Open your Monday board > Click on the Integrate at the top of the board > Switch to Board automations tab) to perform the following operation:
Disable the recipe using toggle switch
Edit the integration
Duplicate the integration
View Integration Activity
Delete Integration

How Does the Integration Work?

With the recipe now configured, each new incoming WhatsApp chat will automatically sync its contact information to the Monday board you selected. The sync process will adhere to the parameters and fields you mapped during the setup.

How It Works

  • Contact Creation: When a new WhatsApp message is received, the system will first search for the contact’s phone number on your Monday board.

  • Auto-Creation for New Contacts: If the phone number is not found on the board, the system will create a new contact entry for you, adding all mapped information such as the contact name, phone number, chat link, and any other specified details.

This setup only applies to new incoming chats. Existing or previous chat data will not be included in the sync 💡
