How to Turn Off Syncing for Private Chats

Disabling private chats

You can prevent TimelinesAI from syncing private/personal chats that you might have in your WhatsApp account.

If you do so:

  • Your private/personal chats won't show up on TimelinesAI

  • Also, these same chats will not sync into the CRMs that you have integrated with TimelinesAI (Pipedrive, HubSpot, Zoho, Monday, etc).

This feature ensures that you can maintain a clear separation between personal and business communications, allowing you to manage your data effectively.


How to Disable Private Chats from being Synced to TimelinesAI?

We offer two ways of disabling private/personal chat syncing on TimelinesAI. These methods are part of the broader WhatsApp synchronization management features provided by TimelinesAI.

Disabling chat syncing from your Contact List:

  • In your TimelinesAI account, go to the WhatsApp Accounts section

  • Select the "My account" tab at the top

  • Click on the "Manage the Contact List" drop-down menu

  • You'll see a list of all the contacts that we have synced from your WhatsApp account. Within the list, search for the chats that you don't want to sync on TimelinesAI

  • If you want to search for specific contact numbers, then make sure to type in the phone number within the search bar in your contact list, without the "+" symbol and blank spaces/dashes/parentheses (i.e.: 447441447478)

  • Toggle off the synchronization for those chats, as shown here:

After turning off the chat syncing, make sure to delete these chats from TimelinesAI, as the messages that were synced until that point will still be visible. You can refer to the instructions below to delete them.


Disabling chat syncing from the Chat View (Shared Inbox):

If you are subscribed to the CRM Integration plan and you are the owner, then you'll be the only one able to see the Chat section, along with the synced chats, on TimelinesAI.

However, if you are subscribed to the Shared Inbox or Mass Messaging plans, then you and the rest of your team members will be able to see these chats within the Chats section.

This option will allow you to select multiple chats to delete and unsync them from TimelinesAI:

  • Click on "Chats"

  • Select the chats you want to delete and unsync by clicking on their respective checkboxes, which will show up when you hover your cursor over each chat's profile picture (you can also click on the checkbox that will show up on top to select them all):

  • You'll see a drop-down menu called "Actions with selected" show up beside the "Select all" checkbox. Click on "Delete":

  • Once you click on "Delete", TimelinesAI will ask you for your confirmation before proceeding, where you'll also notice a checkbox that reads "Unsync deleted chat(s)". You may tick that checkbox to also turn off the syncing of those selected chats you delete.

  • Click on "Delete and unsync" to proceed:

Now, the deleted chats will no longer sync on TimelinesAI.

Keep in mind that deleting chats on TimelinesAI is not reversible. However, those deleted chats will be available in your WhatsApp account; they won't be affected by this process.


Understanding Contact Synchronization Behavior

TimelinesAI supports one-way synchronization for contact names. Here’s how it works:

  • Changes in TimelinesAI: If you change a chat name in TimelinesAI, it will not update the contact name on your phone.

  • Changes in WhatsApp: If you update a contact name in WhatsApp on your phone, the corresponding chat name in TimelinesAI will update automatically. This behavior ensures that updates made on your phone are reflected in TimelinesAI, but not vice versa, providing clarity and control over your contact information.
