Close crm to WhatsApp Integration - Native Chat Sync with TimelinesAI
📌 Getting Started
The video is about an overview of how to connect TimelinesAI with Close CRM, so your WhatsApp chats and contacts sync into Close as leads.
Before setting up your WhatsApp account must already be connected to TimelinesAI (via the WhatsApp Accounts section, using the QR code with your WhatsApp mobile app).
To start the integration from the TimelinesAI side, make sure you're logged into both TimelinesAI and Close CRM in the same browser. In TimelinesAI, go to Integrations → Close CRM → Connect and grant access when prompted.
⚙️ Setup & Lead Auto-Creation
When enabled, TimelinesAI automatically creates a new lead in Close every time a new WhatsApp chat starts, and no matching lead exists.
By phone number, TimelinesAI uses the WhatsApp phone number (in full international format) to find or create the lead.
To test the integration, click Test Integration, send a message from your WhatsApp account, and watch as TimelinesAI creates the matching lead in Close.
🔄 Lead Notifications & Lookups
TimelinesAI shows a notification with a direct link to the new Close lead.
You can find the leads later. For this search the Close Leads section, or click the notification link from TimelinesAI.
There is a quick way to jump back to the WhatsApp chat from a lead. Every lead synced by TimelinesAI includes a chat link that opens the conversation in TimelinesAI.
Lead fields that are populated: Lead title, lead owner, contact name, phone number, and the chat link.
🧑 Lead Owner Assignment
Owner assignment follows this priority:
If a TimelinesAI user sent the message and has a matching Close user, they are the owner.
If the customer initiates, TimelinesAI looks up the WhatsApp account owner in Close.
If neither matches, the master connection user (workspace owner/admin who set up the integration) is assigned by default.
The main connection between TimelinesAI and Close is typically the workspace owner or the admin who set up the integration. They become the fallback owner when no other match applies.
💬 Conversation Sync & Activities
The information that is synced for each message - The name of the team member or contact who sent the message, the message contents, and the WhatsApp timestamp.
To filter the lead activity feed to see the WhatsApp conversation - use the conversation filter icon on the lead to show only the WhatsApp messages, hiding other Close activities.
Images, files, and voice notes are synced as attachments on the lead activity.
📞 Contact Details & Phone Number Format
Close needs a full international phone number format - a plus sign, country code, area code, and number, so TimelinesAI can match it to the WhatsApp account.
To see the synced phone numbers, it's added as an "other phone number" on the contact, so any existing primary phone number you maintain in Close stays untouched.
📨 How Messages & Attachments Are Displayed
Outgoing messages (sent from TimelinesAI) appear in green. Incoming messages (sent by the contact) appear in white.
Attachments are downloadable from the lead activity.
Close limits attachments to 25 MB. If a file is larger, TimelinesAI shows a notification with a link to view the file in TimelinesAI directly.
🔗 Multiple Leads for the Same Contact
If a contact has multiple leads in close TimelinesAI uses opportunity activity to decide which lead to attach the new message to.
Integration chooses between multiple leads it picks the lead with the most recent opportunity. If no opportunities exist, it picks the most recently created or updated lead.
You can filter Close leads by source to keep TimelinesAI-created leads separate from your manually created ones.
