Issue with HubSpot Phone Number Search: How to Avoid Problems

Dear users,
We’d like to bring your attention to an important limitation within the HubSpot platform that may affect phone number search functionality. This guide explains the issue and offers clear steps to avoid search failures.

⚠️ What’s the issue?

HubSpot does not support searching for phone numbers that contain whitespaces.
For example, numbers like:
+1 234 567 8901
+44 1234 567 890
will not return results, even if the contact exists in your CRM.
This issue has been confirmed through multiple discussions in the HubSpot developer community and, unfortunately, there is currently no technical fix provided by HubSpot.

✅ How to avoid the issue

1. 🔍 Always enter phone numbers without spaces

Correct format:
+12345678901
+441234567890
Incorrect:
+1 234 567 8901
+44 1234 567 890
Only use digits and, if needed, a leading +.

2. 📄 We’ve updated our knowledge base articles

All relevant KB content has been updated to clearly instruct users to avoid using whitespaces in phone numbers.
Please review the latest guides to ensure your entries follow the correct format.

3. ⚙️ Disable auto phone number formatting in HubSpot UI

HubSpot may automatically insert spaces into phone numbers during input.
We recommend disabling auto-formatting to prevent this behavior:
Settings → Objects → Contacts → Phone Number Format → Turn Off Auto-formatting

4. 🔧 Using third-party integrations or imports?

Please make sure that:
Phone numbers are passed in a clean format like `+1234567890`
Spaces, parentheses, dashes, and other characters are removed
Only digits and the leading + are retained

ℹ️ Frequently Asked Questions

❓ What if my number is already stored with spaces?

You can manually edit the contact's number in HubSpot to remove the whitespaces.
Or, if available, use a bulk editing feature within your CRM.

❓ Are local numbers supported?

Yes — we support local numbers as long as they don’t contain spaces.
Example: 123456789

💬 Final Notes

We understand this limitation may be inconvenient, but it is due to HubSpot’s internal search behavior, which is beyond our control. By following the formatting rules above, you can ensure your phone number searches work reliably.
