Close CRM Integration: managing connection

To begin using the Timelines and Close CRM Integration you must first establish a connection between Close CRM and TimelinesAI. The integration uses one Organization (master) connection. This means that only one team member needs to set up this link; after that, WhatsApp messages from every TimelinesAI user will sync with Close CRM automatically.

This guide will walk you through everything related to the TimelinesAI and Close CRM connection.

How to connect

Prerequisites to successfully connect TimelinesAI to Close CRM:

✅ You’re the owner or admin of the TimelinesAI workspace

✅ You have an active Close CRM account

✅ Your Close CRM user’s Lead Visibility is set to All Leads

✅ Your Close CRM user has manage_organization permissions

  1. Login as workspace owner or administrator and open Close CRM from main navigation menu. Click Connect

  2. On the OAuth screen select the desired Close CRM organization and click Allow

  3. After the Close CRM organization is connected, TimelinesAI shows the connection details allowing to configure settings or run a test sync

About Lead Visibility and manage_organization permissions in Close CRM

TimelinesAI Integration with Close CRM requires the user establishing the connection to have the Lead Visibility permission set to "All Leads" and manage_organization permissions enabled in their Close CRM role's permissions. Otherwise the connection can not be established with a warning message:

You don't have enough permission to connect this Close CRM organization.Only Close CRM users with permissions: view_all_leads, manage_organization can establish the connection.

As Close CRM Organization owner/administrator you can manage roles and permissions at https://app.close.com/settings/roles/ .

  1. Open the Roles and Permissions page

  2. Find your role

  3. Open role's settings

    1. Make sure Lead Visibility is set to 'All Leads'

    2. Make sure the Manage Organization toggle is On

How to disconnect and what happens on disconnect

To disconnect from TimelinesAI UI:

  1. Login as workspace owner or administrator and open Close CRM from main navigation menu

  2. Click Disconnect

To disconnect from within Close CRM UI:

  1. Login to your Close CRM account

  2. Click Revoke Access

When disconnected all WhatsApp conversations going forward will not sync to Close CRM. Already synced data remains as is.

When connection is auto-disconnected

Close CRM is automatically disconnected:

  1. When Close CRM organization no longer exists

  2. Close CRM connection owner no longer exists

  3. Close CRM access revoked

FAQs

What happens with Close CRM connection when TimelinesAI account's trial ends or subscription is unpaid?

Answer: Your connection details will be preserved. However the message will start working only after your TimelinesAI subscription is renewed. Close CRM Integration settings page in this case will display the following warning:
